  • Board members and staff involved in the hiring process.
  • The handling of personal data collected from job applicants, including resumes, cover letters, writing samples, assessments, and interview recordings.
  • Data management practices, both on-site and remote, that ensure compliance with Madagascar and Jersey data protection laws.

Aims

The purpose of this policy is to outline Onja’s commitment to protecting the personal data of job applicants and ensuring compliance with applicable data protection regulations in Madagascar and Jersey.

This policy complies with the following laws:

  • The Data Protection Law N° 2014-038 (Madagascar).
  • The Data Protection Law 2018 (Jersey).

Data Collection and Usage

What Data We Collect

During the hiring process, Onja may collect:

  • Resumes/CVs, cover letters, and other application materials.
  • Writing samples and practical assessments.
  • Interview records, including video or audio recordings.
  • References and information from referees.

How We Use Your Data

We process personal data to:

  • Evaluate qualifications and suitability for roles.
  • Verify the accuracy of application information.
  • Communicate with applicants about the hiring process.
  • Processing is based on legitimate interests and, where necessary, applicant consent.

Data Sharing and Storage

Data Sharing

Personal data is shared only with authorized Onja staff involved in the hiring process. It will not be disclosed to third parties unless required by law.

Data Storage

Data is stored securely and retained for as long as necessary for the purposes outlined in this policy or as required by law. Candidate data older than two years will be deleted.

Rights of Applicants

Under applicable data protection laws, applicants have the right to:

  • Access their personal data.
  • Request corrections to inaccurate or incomplete data.
  • Request the deletion of their data, subject to legal obligations.
  • Object to certain data processing activities.
  • Withdraw consent where processing is based on consent.

Security Measures

Appropriate steps are in place to keep personal data safe, including access controls, and potentially audits to ensure compliance with this policy. In addition, each staff member with access to personal information is obligated to maintain its confidentiality.

Change in Policy

This policy is intended to evolve and is therefore subject to change. In case of modifications, the new policy will be updated on the Onja website.
